Recruiting for an Operations Administrator. 

Our new Operations Administrator will work closely with the Operations Lead, and play a key role in delivering a professional and efficient service. The role supports the coordination of company operations, ensuring that clients, colleagues and other stakeholders receive effective administrative support and that operational activities run smoothly and efficiently.

Key areas of responsibility*:

Operations

  • Provide administrative and operational support to the Operations Lead 
  • Monitor and manage client mailboxes, maintain organised records and ensure follow-up actions 
  • Assist the Customs Documentation Co-ordinator with customs reporting
  • Maintain clear, professional and timely communication with clients and third parties 
  • Contribute to the continuous improvement of documentation processes by identifying opportunities to streamline workflows and improve accuracy
  • Prepare and maintain training documentation packs to support client learning sessions

*The above does not include all the duties that an Operations Administrator may be asked to perform.  This role may be required to perform other duties and handle other responsibilities in addition to the above from time to time. 

HSEQ

  • Review and follow company QMS procedures 
  • Contribute to the creation, review, alignment and amendment of job specific procedures

Communications

  • Assist with PR & Marketing campaigns as appropriate
  • Share ideas and content for company newsletter, social media and other marketing channels

QHSE Responsibilities

  • Demonstrate a personal commitment to Quality, Health, Safety and the Environment
  • Apply Bethan Customs Consultancy, Quality, Health, Safety & Environment Policy and Management Systems and where appropriate, those of Client organisations.

Applicants must:

  • Be competent in Microsoft Office applications and comfortable learning / using business systems and digital platforms
  • Have strong organisational skills, excellent communication skills with a keen eye for detail
  • Proactive and solution-focused, with the ability to anticipate and resolve issues
  • A customer-first mindset and a team player 
  • Demonstrates initiative, curiosity and a willingness to learn
  • Excellent communication skills with ability to liaise confidently with clients, colleagues, and third parties
  • Possess a good level of general education of at least National 5 grade in Mathematics and English or equivalent 
  • Full UK Driving Licence essential

Recruiting for a Customs Coordinator. 

Our new Customs Coordinator will play a key role in supporting our clients with customs and international trade requirements. Working closely with the wider Bethan team, they will help businesses navigate customs processes with confidence, ensuring a high level of accuracy, compliance and customer service. This role is ideal for someone with customs experience who enjoys helping people, solving problems and making a real difference to the businesses they support.

Key areas of responsibility*:

Operations

  • Compliance Checking Import & Export Entries
  • Preparing import / export amendments
  • Report writing
  • Calculation of import duty and VAT for diversions to home use
  • Supporting clients with customs queries
  • Supporting clients with management and maintenance of their Customs Authorisations
  • Drafting End Use and IP Bill of Discharge
  • Supporting Bethan Operations as and when required

Applicants must:

  • Have previous customs experience and a good understanding of customs procedures and compliance requirements
  • Be passionate about supporting clients and helping businesses navigate international trade challenges
  • Demonstrate exceptional accuracy and attention to detail
  • Have strong reporting and analytical skills, with the ability to interpret and present information clearly
  • Be computer literate with an excellent knowledge of Microsoft Excel, Word and SharePoint
  • Have the ability to work effectively as part of a team, as well as independently
  • Have experience handling confidential client information with discretion and professionalism
  • Be motivated, proactive and able to use initiative to solve problems
  • Have the ability to work to tight deadlines and prioritise workload to meet business and client demands
  • Possess a good level of general education of at least Higher Grade in Mathematics and English, or equivalent
  • Hold a full UK Driving Licence
